Transcript Workbench Pro Privacy Policy

Summary
Transcript Workbench Pro is designed for local transcription and post-production workflow support on macOS. Normal transcription runs on your Mac using the Whisper runtime and model files available to the app.
Transcript Workbench Pro does not sell personal data, does not use advertising trackers, and does not use your files or transcripts for advertising.
Optional Pro editorial features may send user-selected transcript text, context text, and related instructions to third-party AI services when you explicitly enable those features and provide an API key.
Information Processed Locally
Transcript Workbench Pro may process the following information on your Mac:
- Audio and video files you add to a transcription batch.
- Generated transcript text, subtitles, timed transcript PDFs, JSON, TSV, and related output files.
- Batch names, output folder locations, app session settings, and selected export options.
- Context files or notes you add for Pro editorial workflows.
- Startup and job logs used to diagnose launch, transcription, export, and model-download issues.
These files and settings remain on your Mac unless you choose to share, upload, email, back up, or sync them using another service.
Local Transcription
For normal transcription, Transcript Workbench Pro uses local speech-to-text processing. Audio and video files are read from your Mac, processed on your Mac, and written to output folders on your Mac.
Transcript Workbench Pro does not send your audio or video files to Criolla Digital Cinema, LLC or to a cloud transcription service during normal transcription.
Optional Pro Editorial Features
Transcript Workbench Pro may include optional editorial features such as clip selection, context-aware reports, and NLE export helpers.
If you choose an AI-assisted Pro editorial workflow and provide an OpenAI API key, Transcript Workbench Pro may send the following to OpenAI:
- Generated transcript text.
- User-provided context files, notes, requests, or timecode instructions.
- App-generated prompts needed to create editorial selections, reports, or export metadata.
Transcript Workbench Pro does not intentionally send the original audio or video file to OpenAI for these editorial features. OpenAI's handling of information sent to its API is governed by OpenAI's terms and privacy practices.
Model Downloads
Some local transcription features may require downloading model files. Downloaded models are used for the feature you enable and remain on your Mac unless you remove them.
API Keys and Tokens
Transcript Workbench Pro does not hardcode, bundle, or collect your OpenAI API key.
If you choose to save an API key, the app stores it locally in the macOS Keychain. Session files do not save API keys or tokens. You can remove saved keys from the app where supported, or by using macOS Keychain Access.
Logs
Transcript Workbench Pro may write local diagnostic logs, including a startup log at ~/Library/Logs/Transcript Workbench/startup.log.
Logs are intended to help diagnose problems such as launch failures, missing bundled tools, model availability, transcription errors, and export issues. Logs remain on your Mac unless you choose to send them for support.
Files, Outputs, and User Control
You choose which media files to add and where outputs are written. Deleting the app does not automatically delete your transcripts, generated outputs, cached models, saved sessions, local logs, or Keychain entries.
Data Sharing
Transcript Workbench Pro does not sell user data.
Transcript Workbench Pro does not share your data for third-party advertising or tracking. It may share limited information with third-party services only when required for an optional feature you enable, such as sending transcript/context text to OpenAI for AI-assisted Pro editorial features or contacting model hosts to download model files.
Analytics and Crash Reporting
Transcript Workbench Pro does not currently include third-party analytics, advertising SDKs, or automatic crash-report upload.
Children
Transcript Workbench Pro is a professional transcription and editing workflow tool. It is not directed to children.
Security
Transcript Workbench Pro uses local macOS storage and the macOS Keychain for saved API keys. No software can guarantee perfect security, so you should avoid using optional third-party AI features with highly sensitive content unless your organization has approved that workflow.
Changes to This Policy
This policy may be updated as Transcript Workbench Pro changes. The effective date at the top of the policy will be updated when material changes are made.
